Establishing a custom process is recommended to be done during the onboarding process, the system administrator should frame the needs of the company to set up the processes that will be automated through darlean.
1. Make sure to login to account that has Admin/Owner access. Then click Process -> + New -> New custom process
2. Select the category, language, process name, description. And you can change the process icon.
Category: Process category helps you to cluster related process. You can set the process category by going to Process Page and click the gear icon in the top right page Language: Our process can be made bilingual with English and Bahasa, be noted if you choose Bilingual you need to fill both English and Bahasa labels
3. Next you will enter the process constructor, here is the place you can use to determine the flow, request required information, and set the approver automatically
3.1 Set the Process Name and Initiator
Initiator is the members who are allowed to create process. Example: Sales Quotation Request is allowed only for sales team to request. Then set the Initiator only for Sales Team. Auto start feature is for automatic repetitive request with the same format
3.2 Set the custom field
Add multiple field as required information in the request. All added field are mandatory to be fulfilled by Requestor. To add Click Field Panel (Top Left) and drag and drop the fields
3.3 Set the name and place holder for each field
The fields name and placeholder will be displayed for the requestor during the time he make the request
3.4 Add branch: conditional (what if), parallel branch, simple step
conditional (what if): Set the condition based on value inputted in the fields (step 3.3) parallel branch: the process will be continued with 2 different process in parallel simple step: the process will continue simply to the next step
3.5 Set the Approver
Assignee refers to the Approver that needs to check the request. In this process user can set the time, description or automate the Approve to the direct manager of the requestor
3.6 Check the whole flow
With complex process you might missed to fill parameter or forget to do some setting, we provide you with Check feature, and darlean system will run through the process to check the details
3.7 Publish
When the flow is confirmed and published user can use this flow clicking + Create, and choose the Custom Process. See in for details
